JOB TITLE: Event Coordinator

TERM: Seasonal; Full-time Summer Position (35 hours per week for 8 weeks)

START DATE: Availability dependent.

REMUNERATION: $19.00/hr


This is an 8 week position that involves summer coordinating for a fall trade show, two summer farm tours, and potentially other networking or tabling events. The successful candidate will work closely with the team to ensure smooth event planning, promotion, and execution, while supporting community engagement and showcasing the value of organic production.


Tasks and Responsibilities

  • Event Planning and Execution: Lead logistical coordination of in-person events, including scheduling, logistics, and participant registration.

  • Speaker and Exhibitor Coordination: Liaise with speakers, and trade show vendors to confirm participation, manage requirements, and ensure seamless integration into the event program.

  • Timeline and Task Management: Collaborate with staff to develop clear event timelines and action plans, ensuring tasks are completed on time and within budget.

  • Participant Engagement and Evaluation: Develop and distribute post-event surveys; collect feedback to evaluate success and identify areas for improvement.

  • Recordkeeping and Reporting: Maintain accurate records of participants and event outcomes. Compile data and prepare post-event reports for staff and the Board of Directors.

  • Sustainability Integration: Incorporate environmentally responsible practices into event planning, such as reducing waste and sourcing sustainable materials.

  • Risk Management and Troubleshooting: Anticipate potential challenges and implement contingency plans to ensure a safe, professional event experience.

Requirements

The ideal candidate will have the following:

  • Event Management Experience: Demonstrated experience in coordinating and facilitating events.

  • Organizational Skills: Ability to supervise logistical aspects effectively, including scheduling, vendor coordination, and participant registration, while maintaining attention to detail.

  • Communication Skills: Excellent communication skills are essential for managing speakers, collaborating within a team to develop event plans

  • Project Management Abilities: Proficiency in developing comprehensive event plans and timelines, with a focus on adhering to budgets and deadlines.

  • Adaptability: Capability to adapt to changing circumstances and troubleshoot problems as they arise.
